Who is responsible
Built By Board Ltd is responsible for personal data we process for Player Zero and this website. We are registered in England and Wales under company number 15604498. Registered office: 49 Somerville Drive, Leighton Buzzard, Bedfordshire, United Kingdom, LU7 3RY. For privacy questions or requests, email hello@builtbyboard.com.
This notice describes this website and the Player Zero desktop app for Windows and macOS. The information processed depends on the features you use. Optional services have additional data flows described below.
Visiting this website
The web server receives information needed to serve and secure requests, such as your IP address, requested page, request time, browser information and any referring page your browser supplies. These records help deliver the site, diagnose faults and prevent misuse.
This version of the website contains no advertising pixels, analytics scripts, third-party fonts, embedded videos or account forms. Its logo, styles and screenshots are served from this website. It does not set analytics or advertising cookies. If those practices change, we will update this notice and provide any consent controls required by law before enabling optional tracking.
Support and communications
If you email us, we receive your email address, message and any attachments or details you choose to provide. We use them to answer your request, investigate software issues and handle licence or refund queries. Please remove playlist URLs, provider credentials, payment details and unrelated personal information from screenshots or diagnostics before sharing them.
Accounts, licences and payments
Where you use Player Zero account or licensing services, we process information needed to activate, verify and manage access. This can include an account email, password hash, device identifiers, app and platform, licence type and status, activation records and purchase references. Refund or dispute information may also be associated with an entitlement.
The seller or payment provider named at checkout handles payment details. For an order sold by Paddle, its own Privacy Policy applies to its processing. Other payment channels and app stores apply their own notices. We receive the transaction information needed to deliver and support a licence; we do not receive your full card number or card security code.
This website does not currently accept payments or provide account registration. These descriptions explain product services you may use separately; browsing the site does not activate them.
Playlists, playback and optional services
When you add your own source, the app connects to that source to obtain playlists, guide information, media and related data. Your provider receives connection information and any credentials required for its service, and applies its own privacy practices.
The desktop app keeps information on the computer for playback and library features, such as source configuration, favourites, history, progress and settings. Do not interpret local storage as a promise that enabling an online feature keeps every field on the device.
If you enable Sync, selected information is sent to the Sync service and your linked devices. Depending on your selections, this can include source information, favourites, preferences and playback progress. Some sensitive fields have additional encryption; this is not a claim that all Sync data is end-to-end encrypted. Do not enable sharing for information you do not want sent to linked devices.
Optional integrations, such as metadata lookups, Trakt, casting and sports information, can send queries, media information or activity-related data to the relevant service when used. Network requests reveal connection information to their recipients. Review the controls and provider notices for integrations you enable. This notice does not promise that viewing-related data is never transmitted when you choose such features.
Why we use personal data
We process information to deliver requested services and fulfil purchases; answer support and refund requests; manage accounts and licences; operate optional features you choose; secure and maintain the service; prevent fraud and abuse; and meet legal, accounting and tax duties.
Where UK or European data-protection law applies, our bases include performing a contract or taking requested steps before one, legal obligations, legitimate interests in operating and securing the service, and consent where required for an optional activity. You can withdraw consent where it is the basis without affecting earlier lawful processing.
Recipients and international processing
Information may be processed by hosting, email, licensing and payment service providers as needed for those functions, by services you choose to connect, and by authorities where legally required. We do not sell personal data. We do not publish private support requests or source credentials.
Service providers may process information outside your country. Where the law requires safeguards for an international transfer, appropriate safeguards must be in place, such as an adequacy decision or approved contractual protections. Contact us for details relevant to your request.
Retention and security
We retain information only as needed for its purpose, including running an account, supporting a licence, resolving disputes and meeting legal record-keeping duties. Relevant factors include whether the account or entitlement is active, when a support case ends, security needs and mandatory retention periods. Backups may retain information until their normal replacement cycle completes.
We use reasonable technical and organisational safeguards appropriate to the information and service. No network or storage system can be guaranteed completely secure. Do not send us secrets that are unnecessary for a support request.
Your choices and rights
You can choose which optional services to use and contact us about account or data deletion. Subject to applicable law, you may request access, correction, deletion, restriction or portability of personal data, object to processing based on legitimate interests, and withdraw consent where relevant. Some records may need to be retained for legal duties or an unresolved transaction.
Email hello@builtbyboard.com to make a request. We may need proportionate information to verify identity. You may complain to the UK Information Commissioner's Office or your local data-protection authority.
Changes to this notice
We will update this notice when the relevant services or practices change. The published version will identify its effective date. Material changes requiring consent will be handled before the new optional processing begins.
